How to Send a Video Transcript to Notion

Turn any lecture, meeting, or local video into a clean Notion page with a summary on top and the timestamped transcript underneath.

Most guides for getting a video transcript into Notion assume the video is on YouTube. Your recording might be a lecture file, a Zoom export, or a screen recording on your phone. Pasting raw captions into a page gives you one long block of text that nobody will scroll through twice.

Fast answer

To get a video transcript into Notion, transcribe the video first, then move the text in as Markdown. In VidNotes, import the file or supported link, generate the transcript, and create a detailed summary or key points. Open the export sheet, pick the content scope (full transcript, summary, or key points), choose Markdown, and save the .md file. In Notion, use Import and select Markdown, or open the file and paste its contents into a page. Notion turns headings and lists into blocks. VidNotes has no direct Notion integration, so this is a file export and import, not a live sync. Check tables and long transcripts after the move.

When this workflow matters

This is worth setting up when Notion is where your work already lives and the video is only the source. Students keep a course database with one page per lecture. Product teams log customer calls next to roadmap items. Creators keep a content database where each recorded video becomes a page with quotes and post ideas.

The common problem is the same: the useful parts of the video are spoken, and Notion only searches text. A transcript with a summary on top makes the recording findable by topic, name, or phrase. If you only need the Markdown file and work in a plain-text vault, the guide to turning course videos into Markdown notes covers that side in more depth.

Step-by-step workflow

1. Get the video into VidNotes

Import a local file, a file from cloud storage, or a supported public link. For recordings you own, such as lecture downloads, meeting exports, or phone recordings, the file is the most reliable source. Private links from a course player or a company drive often fail outside that app.

VidNotes is available on iOS, Android, web, and as a Chrome extension. Use the AI notes from video tool to test one recording before you process a backlog.

2. Generate the transcript and notes

Let the transcript finish first. Then generate a detailed summary, key points, or both. The summary becomes the top of your Notion page, the part you actually read. The transcript becomes the reference you search and cite.

Spot check names, product terms, and numbers against the video at their timestamps. Notion will make the text searchable, which also makes mistakes easy to find later in the wrong context.

3. Pick the export scope before the format

Open the export sheet. VidNotes lets you export the full transcript, the detailed summary, the quick summary, or key points only. Choose based on how the page will be used:

  • Full transcript: meetings and interviews where exact wording and time ranges matter.
  • Detailed summary: lectures and training videos where you want structured notes.
  • Key points: short review pages or database entries you skim weekly.

Then select Markdown. TXT also works for plain pasting, but Markdown keeps headings and lists so Notion can turn them into proper blocks.

4. Import the file into Notion

In Notion, open the sidebar, choose Import, and select Text and Markdown. Pick your .md file and Notion creates a new page from it. Notion documents the supported formats in its import help page.

If you want the content inside an existing page or database entry, open the .md file in any text editor, copy everything, and paste it into the page. Notion converts pasted Markdown headings and bullets into blocks.

5. Shape the page for your database

A raw import is a document. A useful Notion page has properties. Move the page into your database and fill in what you will filter by later:

  • Source: filename or original URL.
  • Date recorded and Date processed.
  • Type: lecture, meeting, interview, webinar.
  • Course, project, or client, as a relation if you use one.
  • Status: to review, reviewed, cited.

Keep the summary at the top. Put the full transcript under a toggle heading so the page stays readable while the text stays searchable.

6. Keep timestamps as your route back

Timestamps from the full transcript are what let you check a claim against the video months later. Keep them beside decisions, definitions, and quotes. When you copy a line into another page, copy its timestamp with it.

7. Repeat with a template

Once one page works, make it a Notion database template: summary section, key points, a toggle for the transcript, and the properties above. Each new video then takes one export, one import, and a minute of tagging. For more export choices, see how to export video transcripts in multiple formats.

VidNotes costs $9.99/mo or $49.99/yr, free trial, which matters if you plan to move a full course or a backlog of meetings into Notion.

Mistakes to avoid

Dumping the full transcript as the whole page. A 60 minute transcript is thousands of words. Put the summary first and fold the transcript under a toggle.

Skipping properties. Without source, date, and type, a library of imported pages becomes hard to filter. Add them when you import, not later.

Expecting a live connection. The exported file is a snapshot. If you regenerate a summary in VidNotes, export and import again or update the page by hand.

Ignoring formatting after import. Check tables, nested lists, and code snippets. Some Markdown details may not convert the way you expect.

Losing the source link. Always record where the video came from. A transcript without a source is hard to trust or share.

Importing private recordings into a shared workspace without checking. Meeting and interview transcripts can contain sensitive details. Confirm who can see the database before importing.

FAQ

Does VidNotes integrate directly with Notion? No. VidNotes does not connect to your Notion workspace. You export the transcript, summary, or key points as a Markdown or TXT file and import or paste it into Notion. That keeps you in control of which pages get the content.

Can I send a non-YouTube video transcript to Notion? Yes. VidNotes works with local video files, cloud files, and supported links, so lecture recordings, meeting exports, and phone videos all follow the same path. Once the transcript exists, the Notion steps are identical.

Which export format works best for Notion? Markdown, because Notion converts its headings, bullets, and emphasis into blocks. TXT works for quick pasting but needs more formatting afterwards. PDF is better for read-only sharing than for an editable Notion page.

Will timestamps survive the import? A full transcript export includes time ranges for each section, and they arrive as plain text in Notion. Summary-only exports are shorter, so add timestamps beside any point you plan to cite.

How do I add the transcript to an existing database entry? Open the exported .md file in a text editor, copy the contents, and paste them into the database page. Notion converts the Markdown structure as you paste. Put the transcript under a toggle heading to keep the entry readable.

Can I put a whole course into Notion this way? Yes, one lecture per page works well. Build a database template first, test it with one lecture, then process the rest. Use a relation to a course page so every lecture links back to its module.
