This Privacy Policy describes how VidNotes collects, uses, stores, and shares information when you use the VidNotes iOS app, our related services, and the backend available at https://api.vidnotes.app. VidNotes helps users transcribe audio and video, generate summaries, key points and flashcards, chat with transcript content, and manage notes. To provide those features, some user content and technical data may be processed on our servers and by service providers acting on our behalf.

This policy is written in plain English and is meant to be useful both for users and for App Store review. It does not override any rights you may have under applicable law, and it should be read together with any in-app notices or prompts shown when you enable a feature such as tracking or notifications.

We collect information in a few categories: information you choose to provide, information collected automatically when you use the app, and information we receive from authentication, subscription, attribution, analytics, and infrastructure partners.

  • Account and identity data, such as your user ID, email address, and authentication provider.
  • User content, such as uploaded or linked media, transcript text, chat prompts, summaries, flashcards, and notes.
  • Technical and usage data, such as device details, app events, crash information, and diagnostic information.
  • Subscription, transaction, entitlement, and paywall interaction data needed to manage access to paid features.
  • Attribution and measurement data used to understand installs, subscriptions, campaign performance, and product usage, subject to platform rules and user permission where required.

When you use VidNotes, you may provide information directly to us through the app or our backend. This can include:

  • Audio files, video files, or video URLs that you submit for transcription or analysis.
  • Transcript text, chat questions, summary requests, flashcard content, notes, and other text you create or edit in the app.
  • Account details associated with Sign in with Apple or Google sign-in, including your email address when made available by those providers.
  • Support requests, feedback, or messages you send to us by email or through the app.

Some preferences and app state may be stored locally on your device for convenience. However, VidNotes is not a local-only product. Depending on the feature you use, user content may also be transmitted to and processed by our backend and service providers so the app can work as intended.

We and our service providers may automatically collect certain information when you use VidNotes, including:

  • Device and app information, such as device model, operating system, app version, language, time zone, and general diagnostic details.
  • Usage and product event data, such as feature usage, session activity, paywall views, subscription events, and interactions with summaries, flashcards, or chat features.
  • Crash reports, performance metrics, and error logs used to diagnose bugs and improve reliability.
  • Technical identifiers and measurement signals, such as app instance identifiers, IP-derived network information, advertising or attribution identifiers, or other similar signals when available and permitted.
  • Notification-related information, including permission status and remote notification registration data if you enable those features.

Automatic collection may take place through our app, the backend at https://api.vidnotes.app, and integrated tools such as Firebase, RevenueCat, Superwall, AppsFlyer, Apple, Google, and certain Facebook SDK measurement settings when enabled in compliance with platform rules.

How We Use Information

We use collected information to operate and improve VidNotes, including to:

  • Authenticate users, create and maintain accounts, and secure access to the app.
  • Process audio, video, transcript, summary, flashcard, note, and chat-related requests.
  • Provide subscription features, entitlement checks, account syncing, and customer support.
  • Analyze app usage, measure feature performance, diagnose crashes, prevent abuse, and improve reliability.
  • Show and optimize paywalls, subscription flows, onboarding experiences, and product configuration.
  • Measure attribution, conversion, and campaign effectiveness in a way that is intended to comply with platform requirements and user permissions.
  • Comply with legal obligations, enforce our terms, investigate fraud or misuse, and protect the app and its users.

App Tracking Transparency and Attribution

App Tracking Transparency and Attribution

VidNotes may request permission under Apple's App Tracking Transparency framework. If permission is granted, we and certain providers may use tracking-related identifiers or similar signals for attribution, advertising measurement, and campaign analysis where allowed by Apple and applicable law.

If you do not grant permission, some measurement or attribution features may be limited, may use less granular signals, or may operate through privacy-preserving methods provided by Apple or our partners. We do not state that VidNotes uses "no tracking" or that the app uses no advertising identifiers, because some tracking or attribution technologies may be used when permitted.

Relevant technologies may include AppsFlyer, Apple Search Ads attribution, Google on-device conversion measurement, and Facebook SDK advertiser-tracking-related settings where used and where ATT authorization is required. Your ATT choice can affect how these tools operate.

Subscriptions and Payments

VidNotes offers auto-renewable subscriptions through Apple in-app purchases. Apple processes payment information for those purchases. We do not receive your full payment card number from Apple, but we may receive transaction details, product information, storefront or region information, and subscription status information needed to provide paid access.

We use RevenueCat to help manage subscriptions, validate entitlements, and keep subscription access in sync. This may include syncing subscription or access status across supported devices, platforms, or accounts associated with the same user.

Subscription screens and related experiments may also be managed or measured through Superwall. These services may process technical and event data related to purchases, entitlements, paywall presentation, conversions, or related app activity.

Authentication and Account Data

VidNotes supports Sign in with Apple and Google sign-in. When you sign in, authentication details are verified with our backend so we can create or maintain your account and authorize access to app features.

We may store your internal user ID, email address, and the authentication provider you used. If you use Apple's private email relay, we may receive and store the relay email address instead of your personal email address. We may also process authentication tokens or related technical data as needed to verify identity and secure your account.

Notifications

Notifications

VidNotes may request permission to send notifications. If you allow notifications, the app may schedule local notifications on your device and may also register for remote notifications.

Remote notifications typically involve registration with Apple's push notification infrastructure, which may provide a device token or similar registration data. We use notification permissions and related data to deliver reminders, product updates, or other app-related notices where supported. You can turn notifications off at any time in iOS Settings.

We may share information with service providers and partners when needed to operate VidNotes, provide app features, process subscriptions, measure app performance, and support attribution. Categories of recipients include:

  • Apple, for Sign in with Apple, in-app purchases, push notification infrastructure, and Apple Search Ads attribution.
  • RevenueCat, for subscription management, purchase validation, and entitlement syncing.
  • Firebase, including Firebase Analytics, Crashlytics, and Remote Config, for analytics, diagnostics, stability, and feature configuration.
  • Superwall, for paywall presentation, experimentation, and subscription-flow measurement.
  • AppsFlyer, for install attribution, subscription attribution, and campaign measurement.
  • Google services, including Google sign-in support and Google on-device conversion measurement where used.
  • Facebook SDK advertiser-tracking-related features, when enabled and only after ATT authorization where applicable.
  • Hosting, backend, security, and infrastructure providers that help us operate the API at api.vidnotes.app and support content processing.

We may also share information if reasonably necessary to comply with law, respond to legal process, enforce agreements, protect users or the public, investigate fraud or abuse, or in connection with a reorganization, financing, sale, or transfer of some or all of our business.

Data Retention

We retain information for as long as reasonably necessary to provide VidNotes, comply with legal obligations, resolve disputes, prevent fraud, and enforce our agreements. Exact retention periods can vary depending on the type of data and the way the feature is used.

  • Account and subscription records may be retained while your account is active and for a reasonable period afterward.
  • User content may be retained for as long as needed to provide app features, support your account, back up systems, and meet legal or operational requirements, unless you request deletion and we are able to honor that request sooner.
  • Crash, analytics, diagnostics, and attribution records may be retained for shorter operational or reporting periods, subject to the settings and retention practices of the relevant providers.
  • Billing, tax, refund, anti-fraud, and compliance records may be retained as required by law or reasonably necessary for legitimate business purposes.

Deleting the app from your device does not automatically delete server-side information associated with your account. If you want us to review a deletion request, contact us at contact@pawelkarniej.com.

Your Choices and Rights

Your Choices and Rights

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information. You may also have the right to object to or limit certain processing in some cases. We review requests in accordance with applicable law.

  • You can manage notification permissions, microphone access, photo access, tracking permission, and other app permissions in iOS Settings.
  • You can manage App Tracking Transparency permission in iOS Settings under Privacy & Security > Tracking.
  • You can manage subscriptions and auto-renewal through your Apple ID subscription settings.
  • You can manage your Sign in with Apple or Google account settings directly with those providers.
  • You can contact us at contact@pawelkarniej.com to request access, correction, deletion, or additional information about your data.

We may need to verify your identity before completing certain requests, and we may keep limited information as required by law or for legitimate business purposes even after a deletion request.

VidNotes is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information through VidNotes, please contact us so we can review the situation and take appropriate action.

International Transfers

International Transfers

VidNotes and our service providers may process information in countries other than the one where you live. This can happen when our backend, infrastructure, analytics, authentication, subscription, or attribution providers operate across borders.

Where relevant, we take steps designed to require appropriate safeguards for international data transfers under applicable law. However, privacy laws vary by country, and information handled outside your country may be subject to the laws of those jurisdictions.

We may update this Privacy Policy from time to time to reflect changes to VidNotes, our providers, legal requirements, or our data practices. If we make material changes, we may update the in-app notice or the policy page as appropriate.
